The problem

A company that sells automation ran on manual ops

Kronk sells automation, but their own operations were entirely manual. GHL, Close CRM, and Airtable were disconnected with no shared lead identity, attribution, or dedup, so SDR and closer performance could not be measured separately.

Won deals triggered no next step - setup invoicing, onboarding, and renewals were all ad-hoc. There was no dunning for failed payments and no data to resolve commission disputes.

What we built

Unified lead identity

An Airtable base with 8 linked tables keyed on a universal lead id, plus synced GHL custom fields carrying attribution across every system.

n8n as sole writer

An architecture rule that n8n is the only component allowed to write across system boundaries, with dedup validation before any record touches Close CRM.

Payment and dunning in GHL

GHL workflows covering setup fee, recurring fee, failed-payment dunning, and customer nurture, kept where non-engineers can edit the copy.

Activation state engine

n8n receives GHL payment webhooks and writes activation state to Airtable, holding events until writes succeed. All 6 lifecycle states are tracked from Closed Won to Active to Past Due and Recovered or Churned.

Results

Attribution locked at conversion via boolean fields, preventing retroactive commission disputes.
A dedup layer preventing duplicate records entering Close CRM.
Five previously manual post-sale steps fully automated from the Won trigger.
Dunning kept inside GHL so non-engineers can edit escalation copy.
A GHL to n8n webhook relay giving retry semantics GHL lacks natively, so no payment events are lost.
